A motion to provide three $1,000 scholarships per semester was approved.

Fundraising
John Bokum '72

John Bokum was appointed chairman of the Capital Fund Campaign.
·       John recommended kicking off the fundraising program in February. He feels the goal should be $80,000 but doesn't want to announce the amount and give it a hard number. We need approximately $25,000 for furniture and we would like to build up our account so that we can continue the scholarship program at past levels.
·       John Bokum said that John Slater wants to contact members of Phi Theta and the Western Club to solicit contributions.
·       John says we need a marketing plan developed quickly. He hopes to find a brother with marketing experience or perhaps a student majoring in marketing.

Ideas include the matching funds approach. Here one brother offers to match funds donated by another. We may also want to use a plaque with donation categories to display in the house. Online fundraising is another technique we might want to use.

John says there is a chapter history piece. We should find it and spiff it up to use for fundraising. John wants a photo of the actives in front of the house with the Theta Chi Banner to use in fundraising.

The fundraising campaign is to begin in February.

Terry reported that he will move on remodeling of the house. He has contacted several contractors and heard nothing back. Brother Brad Thompson lives in Macomb. Terry will contact Brad to see if he can help with identifying contractors.

The decision on scholarship amounts will be decided at the next meeting in Nov.
Finance Report

·       After making the down payment for the house, we still have a healthy balance on hand. We also have money set aside at a Macomb bank to cover the work to restore 1580 Riverview to a fraternity house.
·       Chuck recommends we look at using QuickBooks in the cloud for our financials. The active chapter could also use it to manage their finances. It would be a good learning experience for active chapter leaders. Chuck will check on the expense of doing this.
·       Chuck mentioned that our accounts are with Citizens Bank. He said that the active chapter Treasurer Zack and complained about citizens customer service. Chuck brought this complaint to Citizens attention.
·       Chuck talked about Bill Kotzum. Is he still on the board? Plan had been for Bill to peel off as Chuck learn the ropes of being treasurer.

·       It was agreed that improving the accuracy of the roster is an important part of the fundraising effort. Tom Stern will work on that.
A Fundraising Committee was created.

It was mentioned that Brother Mac McFadden's wife had died of cancer. He is raising money for National ovarian cancer coalition. We decided to table any decision to donate until our next meeting in November.
Public relations
There is a full-page piece on Ken Caldwell in the current Rattle. Ken is a senior VP at Disney. Vic recommended we highlight successful alumni like Ken when recruiting.

New house report
We closed on the new house and are owners. The address is 1580 Riverview, Macomb Illinois.

Room cost has been set at $475 per month plus the brothers portion of electricity for the room.

Terry Austin’s Report

·        Terry mentioned that 7 units are rented. One tenant asked to stay an additional 3 months. He pays $550 per month. Terry said okay.
·        Terry inspected the house after closing and found it to be in the same good shape.
·        Terry talked about a meeting at the house in preparation for a promotional gathering for the active chapter. We would like this gathering to be held as soon as practical in the semester which starts this month.
·        Terry will check the inventory of equipment, for example fire extinguishers. He will work on replacing equipment as necessary.

House discussion
Terry estimated cost for electricity would be $78 per month per tenant for Campus West. He said the latest price negotiated for Campus West was $489,500.

Bob Schumaker said basement windows for the modular unit would allow egress. He felt that the modular unit would do more to promote camaraderie among the brothers. Ceilings are 8 foot in the modular unit. Bob noted that interest would need to be paid during the construction phases. It was also mentioned that the property for a modular unit would require a holding pond.

It was mentioned that we may need legal cover for profits made before we make Campus West a fraternity house. Bob Leoni was said to be available to help us with legal issues. He had volunteered. Vic mentioned that board members would likely require Indemnity insurance to remove personal responsibility.

Jake and Connor said that anything over $700 per month for rent would likely create trouble among the brothers.

The idea of changing the first floor of Campus West to accommodate common areas was presented.
It was moved and resolved that Terry would approach the Campus West owner and offer to purchase. The price range agreed to was $391,000 to $435,000.
