Secretary’s Report
Steve Stapleton requested we approve minutes via an email vote.
a. Minutes will be emailed to board members within 48 hours of the meeting
b. Board members will review minutes and either approve as written or suggest necessary changes within 5 days after receipt.
c. Changes will be addressed and a copy of approved minutes will be sent to the webmaster to be posted on the website.

Treasurer’s Report
Bill Kotzum and Chuck Hvala discussed the current financial reports.
Bill Kotzum discussed the paperwork that needed signatures of the new board members.
Members present had a discussion regarding financial goals and the possibility of a future chapter house.
Officers signed appropriate documents.
Membership Report
Tom Stern reported he has found 40 good addresses using White Pages.

Scholarship Program
Vic Caricato discussed the status of the scholarship program.
No action needed – the scholarship program will continue.
Social Events
Tom Stern discussed the 2017 Theta Chi Reunion

Golf Event – To Be Determined
    
The Board agreed with the reunion plans and thanked Tom Stern for all his work with this event.






The Board approved a tent, food, and liquid refreshments.






Dennis O’Connell and Vic Caricato will plan this event to coincide with the 2017 Theta Chi Reunion if enough interest is gained.
Newsletter
Tom Stern passed around the post card that was sent via snail mail to all members announcing the upcoming events. Tom Stern and Orin Rehorst will work together with “bad addresses” as they come in.

Orin Rehorst stated a second full page flyer will be sent to all members with all the details of the 2017 Theta Chi Reunion. The flyer will also include additional information about Alumni and Chapter Members.
None needed.



The Board agreed with this action plan.
Chapter Report
Jake Batusich, the current Chapter President, attended the meeting and gave a Chapter update.
- Current Chapter membership is 28 with 3 members expected to graduate this semester.
- Spring Rush (Recruitment) is currently in progress. Brother Batusich expects 6-10 new members will pledge.
- There were 12 pledges in the Fall 2016 semester. Brother Batusich stated the most pledges a fraternity recruited was 16.
- The Chapter discussed the number of members they would like to have and feel 40 is a good number. They are working diligently to obtain and sustain this number.
- The Chapter obtained a 2.965 GPA during Fall Semester 2016. This was slightly below the all men’s average (3.01).
- Brothers not maintaining a 2.50 GPA are suspended for the semester and a mentorship program is initiated to assist the Brother with his studies so he may increase his GPA and return to active status.
- The majority of current Brothers are majoring in Law Enforcement Administration (LEA), Micro Biology, Fire Science, among others.
- The Active Chapter recently initiated a system of fines for such things as not attending Chapter meetings.
- Brother Batusich attended the Theta Chi National Leadership Conference where presentations were given on how to run individual chapters, the Resolute Man Program, and financial responsibilities.
- Two Brothers attended the Recruitment Boot Camp and are actively recruiting members.
- Two fraternities are no longer on campus - Delta Sigma Phi (Nards) and Pi Kappa Alpha (Pikes).
- One new fraternity was granted permission to begin recruiting during the Fall 2017 semester.
- Pledge Initiation will take place on Saturday, April 22, 2017.
The Board agrees with the Active Chapter’s goal of sustaining 40 members.

The Board encourages the Active Chapter to submit articles to The Rattle at least once every semester.

The Board encourages the Active Brothers to apply for available Alumni scholarships and to visit the Financial Aid Office, as many scholarships are often not awarded due to a lack of applicants.

The Board was impressed with the action plan to extend a Helping Hand to Brothers not meeting GPA requirements.


Old Business
Policies and Procedures need to be addressed/written.     
Steve Stapleton will inquire with the National Office to obtain samples of Alumni Board Policies and Procedures. A plan will be presented at the next Board Meeting
New Business
Tom Stern motioned to obtain a membership to White Pages to continue searching for current member’s addresses and be reimbursed for the costs.
 Motion Carried.
Next Board Meeting
The next scheduled board meeting:
When:   Saturday, April 29, 2017
Where:  Macomb, IL
- A block of rooms will be reserved at the Macomb Hampton Inn.
- A schedule of events will be posted soon.
- All alumni are invited to attend.

For the Good of the Fraternity
Terry Austin was never initiated. Terry had contacted the National Office to inquire how he would go about being initiated. He will be invited to join the Active Chapter at the Spring, 2017 initiation ceremony. 
Ralph Hinkle called Terry Austin during the meeting to let him know a date has been sent. Jake Batusich and Connor Bostedt will follow-up.
